Add the concept of "areas" in Akiflow

I have multiple areas in my life; each of them with its own projects:

  • Work
  • Personal life
  • Personal project
  • Hobbies
    I would like to use Akiflow to manage all those areas of my life, but currently, their are 2 problems stopping me:
  1. Organization - I have so many work-related tasks in Akiflow, that adding a "personal life task" is not possible: it would get lost.
  2. Focus - When I'm in the mood for working on my "personal project", I don't want to see/think about my job's tasks.
    I'm not sure if the "area" concept is the right one.

    This would be tremendous. Separating work and private is huge. Getting rid of the clutter that isn't needed at the current time. But also keeping work worries from popping up when working on private stuff.

    The "areas" concept really speaks to me. Triggering those areas automatically based on time (or iOS/Android focus modes) whilst being able to trigger them manually would be such a huge help. Combining that with this feedback:

    With the above feedback the "areas" could be expanded with settings per area. So each area could have a default calendar, event duration, time slot duration, locked task calendar, notifications, etc.

    This would let the calendar move with you during the different phases of the day OR between different devices, showing and working differently each time. Only seeing what you need when you need it.

    Notiiications for tasks and events that are hidden but are at the specified time should still come through.

    This is exactly what I'm thinking of. We need a way to filter with like a "parent label" without having to click through multiple smaller labels. This concept thinking would be great to have in calendar views too.

    This is one of the things that Sunsama really excels at that I have been missing after switching to Akiflow.

      John Villarasa i use Work and Personal as projects but the UX is challenging, the filters don’t always apply to every list or view, and I find it challenging to use on the day to day.

      Sunsama is built around “contexts” when working in a specific context (ie work) all of the tasks, views and workflows are filtered to this. This cuts down on complexity and the mental load of managing everything all at once. This is one of the few things that I find Sunama really excels at over Akiflow and would be worth researching for your UX team.

    Tags can kinda get this done, but also just a view including a folder.

    It is super clear to me at least. I had the exact same thought during past weekend while I wanted to work on personal project. I'd love to be able to separate personal from professional life.

      Francesco An approach that might solve this: "Filters". Similar to labels in the sidebar, but it's a custom list with multiple labels or other properties. For example tasks with label Work + high priority, only tasks due within a week, or a filter combining all personal projects.

      Francesco: I'm not exactly sure. Maybe adding a "global filter" would help create this idea of areas.
      While your inbox-filter solution is interesting, in my opinion, it doesn't address the calendar problem. For example: When working in my "side-project-area", I would like to do timeblock planning without thinking about my work-area tasks.
      How do we achieve this? Maybe we could hide other areas' tasks names, so we can plan our day without focussing our attention elsewhere.
      The goal is really to reduce context switching when working in a specific area.

    Separation of Personal vs Work tasks

    Add a clear Personal vs Work separation throughout Akiflow. Can be as simple as a filter + some todo → calendar settings/routing.

    What I would like:

    • A dedicated field (or mode) that marks every task as Personal or Work

    • System-wide filtering and views based on that (inbox, lists, search, planner, shortcuts, stats, notifications)

    • Default rules for new tasks (based on source, calendar, project, or manual toggle)

    Calendar behavior

    • When I schedule a Personal task, it should go onto my personal calendar

    • When I schedule a Work task, it should go onto my work calendar

    • If I change the task type later, Akiflow should move the calendar event to the correct calendar (or at least prompt to do so)

    Why

    • Keeps work/personal mentally separated and reduces planning clutter

    • Makes shared calendars and scheduling cleaner (especially when you have multiple calendars connected)

    • Removes manual overhead of constantly choosing the right calendar for time blocks

    • Avoids my boss from seeing when I do laundry ;)

    personal profile to keep work and personal tasks separate

    I love using Akiflow for work, but I also want to use it for personal task management and keep the work tasks/calendar completely separate from personal and be able to switch between then desktop, web, and mobile apps.

    Quick filter to view different calendars + task projects

    It would be nice to quickly be able to switch between what calendars and tasks are visible. I have personal and work tasks and events and it would be nice to quickly select a “work” view to just see work tasks and events, “personal” to just see personal ones, and and “all” view to see everything. Applying filters to tasks is tedious right now so having a preset option would make the app way more usable.

      @Ashton Christie When you say you are currently able to “Applying filters to tasks” do you mean you are able to filter tasks on the calendar or just within the list view?

      Hi @Ashton Christie Thank you for sharing this suggestion — it’s a great use case and we completely understand how preset views like Work, Personal, and All could make navigation much faster and more intuitive.

      At the moment, filters can be applied to customize what you see, but we agree that having saved or one-click preset views would significantly improve usability, especially for users managing multiple contexts throughout the day. Your feedback highlights a very practical workflow improvement.
